POSITION SUMMARY:
Under the direction of the Director - Technology Applications,
the Supervisor – Print and Mail Production is responsible for the effective
daily management and administration of printing services, the copier program,
and mail services. The Supervisor will
be responsible for planning and managing the budget, organizing work schedules,
assigning tasks, evaluating projects, and supervising and evaluating both
support and professional employees. Work is performed with considerable
latitude for independent decision making in meeting assigned responsibilities. The incumbent of this position provides oversight to
deliver strategic, efficient, and high quality customer service.
DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Directing, coordinating and establishing an efficient,
progressive and safe operation in the stock control, print shop practices,
mailroom and courier services;
Assisting in the development, planning, and presentation of
long range plans for printing services and the copier program;
Assisting in the development, planning, and presentation of
long range plans for mailing services, including, but not limited to, mail,
vendor and payroll check delivery tracking, and student record transmittal via
United States Postal System and electronic delivery;
Planning
and managing the budget(s) for Managed Print/Mail Services, and the Copier Program;
Consolidating the needs of the various organizational users
by standardizing printed supplies, materials and equipment;
Answering special correspondence related to purchasing matters,
handles special assignments and issues as assigned;
Carrying out supervisory responsibilities in accordance with
organization’s policies and applicable laws, which include interviewing,
hiring, staff development, staff supervision and evaluation, complaint
resolution and problem solving;
Organizing
work schedules, assigning tasks, and evaluating projects for department;
Providing
creative and innovative leadership and vision in fulfilling the mission of the
department;
Planning
and organizing staff meetings, staff development, inter office training,
in-service activities, and related events;
Interfacing
with vendors and preparing purchase orders, bids, requests for information and
related activities;
Managing
contracts, monitoring consultants, and coordinating purchases;
Dealing
effectively with a wide range of clients, including upper level management,
Board Members, principals, supervisors and others;
Providing
in-house consulting services related to printing projects, based on timelines
and budget, as well as movement and tracking of all inter-office and United
States Postal Service mail;
Coordinating
services which are aligned to the requirements of both schools and administrative
offices;
Establishing
and assessing the annual goals of the office; and
Performing
related work as required.
QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.
Thorough
knowledge of standard printing business practices and the latest technology
required for fax, scan, and multifunctional devices;Knowledge
of efficient, cost-effective print, bindery, copy and postal equipment and
software to produce better products at lower cost;
Knowledge
of MSDE student record procedures as related to movement, copying and faxing;
Thorough
knowledge of United States Postal Service rules, regulations, updates, and
latest pricing;
Demonstrates
ability in the use of emerging technologies relating to best practices for
postal software, printing software, products, chemicals, and machinery;
Proficient
in Microsoft Office Suite, with particular strength in Excel; must also be
proficient in PowerPoint, Word, Gmail, Google docs, etc., and skilled using the
internet for work related research; must be proficient with the use of
RSA-WebCrd and ORACLE.
Ability
to work cooperatively as a team member;
Effective
management and administrative skills; effective human relations skills
including the ability to lead assigned staff through managing change, and
ability to develop a “team effort” attitude, using worker feedback to analyze
and improve production steps; and
Excellent oral and written
communications skills.
EDUCATION and/or EXPERIENCE REQUIREMENTS:
Bachelor's degree from an
accredited college or university with major work in printing management
preferred; or five (5) years of experience managing a print shop, as well as
equivalent combination of experience and training which provides the required
knowledge, skills and abilities. Extensive knowledge of United States Postal
Service regulations and guidelines required.
