POSITION SUMMARY:
Under the direction of the
Information Technology Supervisor, the incumbent of this position manages and
coordinates activities with minimal supervision, for personnel engaged in the
production control, and scheduling activities for the schools and county
organizations. Responsible for designing and executing strategies that are tied
to specific action plans. Additionally, communication with other departments is
critical. The work involves moderate to full-range tasks as assigned by the
supervisor in tasks related to SchoolMAX in general to include student
schedules, reporting functions, and system testing and enrollment.
DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Coordinate scheduling timelines and
activities for the district;
Provide on-going training to all
campus master schedulers to include, but not limited to: understanding and
using the course catalogs, creating and maintaining the master schedule,
changing students schedules, assigning
counselors, assigning homerooms, maintaining the rooms file, scheduling new
students, printing schedules, and generating scheduling reports in the Student
Information System;
Develop and maintain end of year
scheduling conversion timelines;
Monitor the development of all
district master schedules and report on status as needed;
Provide on-going training to school
based staff on developing a master schedule based on staffing, student needs,
and school objectives including teaming;
Meet with county coordinators to
monitor application, acceptance, and scheduling processes as they relate to the
campus master schedule;
Test new scheduling functionality,
create documentation on how to use it and write test cases to be used in later
releases. Refine current test cases to
be used in future testing of new software releases;
Daily attendance and punctuality at
work are essential functions of the job;
Updates technical skills and knowledge
through continuous self-study, self-discovery, tutorials, and classes;

Train supporting personnel within
department to carry out scheduling related tasks;
Troubleshoot problems and issues
encountered by users, suggest resolutions, and resolve problems and issues;
Respond to SRA’s;
Work with members of other departments with regard to
data provided Student Apps to their data and to ensure procedures are aligned
to SchoolMAX functionality/capability;
Work with the vendor to develop solutions to missing
functionality or functionality that is not working as designed. Test new functionality and create guides for
our users;
Work with Tech Apps managers and other departments to
deploy new SchoolMAX modules/features and enhancements;
Identify new SchoolMAX and APEX reports that will benefit
end users, develop the specifications and work with the developers to test
query programs using Toad and verify output is correct; and
Performs other duties as assigned.
QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.
Experience overseeing scheduling from
a district level position/perspective;
Thorough knowledge of the scheduling
principals in a K12 public schools environment;
Maintain emotional control under
stress;
Work with frequent interruptions;
Must be able to use personal computer,
back office support software, Microsoft office software including Google forms
and documents;
Ability to
multi-task in a dynamically changing environment; and
A proven
record of success as a scheduler and curriculum related tasks.
EDUCATION and/or EXPERIENCE REQUIREMENTS:
Bachelor’s
degree in Business Administration or a related field required; minimum 7
(seven) years of experience within a K-12 Public School System; minimum of
3 (three) years of experience building and maintaining a master schedule
preferably in a high school. Thorough knowledge of SchoolMAX especially
functionality related to scheduling.

No direct supervisory responsibilities.
