Under the direction of the Technology
Applications - Student Application’s Supervisor, the incumbent of this position
directs and coordinates activities, with minimal supervision, for personnel
engaged in the production control, and scheduling activities for the schools
and county organizations. Responsible for designing and executing strategies
that are tied to specific action plans. Additionally, communication with other
departments is critical. The work involves moderate to full-range tasks as
assigned by the supervisor in tasks related to schools schedules, reporting
functions, and system testing and enrollments.
Provide support to the Division of
Academics in maintaining the District Course Catalog in the student information
system;
Assist with the development and
training of APEX reports that support the Division of Academics;
Assist with the development and
training of Google Forms and Documents that support Division of Academics
maintain of the district course catalog and the individual school course
masters;
Provide on-going training to all
campus master schedulers to include, but not limited to: understanding and
using the course catalogs, creating and maintaining the master schedule,
changing students schedules, assigning
counselors, assigning homerooms, maintaining the rooms file, scheduling new
students, printing schedules, and generating scheduling reports in the Student
Information System;
Coordinate all scheduling timelines
and activities with school district;
Develop and maintain master scheduling
timeline for the schools;
Develop and maintain end of year
scheduling conversion timelines;
Monitor the development of all campus
master schedules;
Provide on-going training to school
based staff on developing a master schedule based on staffing, student needs,
and school objectives including teaming;
Meet with county coordinators to
monitor application, acceptance, and scheduling processes as they relate to the
campus master schedule;

Troubleshoots problems and issues
encountered by system users, suggest resolutions, and resolve those problems
and issues;
Assists clients in resolving problems
in the use of software;
Utilize APEX reports to monitor the
master schedules in all middle, K8 and high schools for the current school year
and for the next school year once schools begin the master schedule building
process;
Identify new school reports and district
reports that will benefit end users, develop the specifications and work with
the developers to test the query using Toad and then test that the output is
correct;
Write guides for functionality related
to scheduling, revise them as the product changes, and distribute them to the
user;
Test new scheduling functionality,
create documentation on how to use it and write test cases to be used in later
releases. Refine current test cases to
be used in future testing of new software releases;
Utilize the ERO system to enter
training sessions after finding and reserving computer lab space for the
training sessions;
Work with the T3 team on issues
related to scheduling and keep them abreast of changes in the software via
meetings, updating the elementary scheduling guide and including them on all
emails to master schedulers;
Work with the testing office to
provide to our master schedulers accessibility to and training on Performance
Matters;
Plan and conduct training sessions for
staff on entering course requests, using the Walk-In Scheduler, how students
use the Family Portal to enter course requests, and how counselors approve
course requests entered in the Family Portal;
Configure the student information
system including setting up the school attendance parameters so high schools
that elect to can use the Family Portal for students to enter course requests;
Configure all high schools so that all
students can view their course requests in the Family Portal;
Configure the student information
system so schools can build their schedule for next year by performing the
following tasks:
Copy
this year’s course master to next year;
Send
out a survey on how each school (middle, K8 and High) wishes to configure their
school for the next year and maintain a Google Doc indicating their
responses. Share this Google Doc with
the instructional directors so they can submit an SRA if a school wishes to change
their scheduling paradigm;
Copy
each school’s current master schedule to next year with or without sections and
with or without primary educators attached.
4. Update the school scheduling parameters for next year; and
Request
a script to update the term dates.
Manage the creation of multiple master
schedule versions at the request of each high school to use in testing a master
schedule. Requests scripts when
necessary if a version fails or if v00 is run accidentally;
Manage the conversion of each high
school back to v00 in August;
Assist the T3 team is supporting the
scheduling needs of the elementary schools;
Work with the Division Of Academics
and Student Services to deploy and maintain the Graduation Standard
functionality in the student information system;
Monitor the scheduling roles in the
student information system and identify which pages needed to be added,
modified or removed so the users have access to working functionality in order
to complete their tasks;
Work with the vendor to develop
solutions to missing functionality or functionality that is not working as
designed. Test new functionality and create
guides for our users;
Respond to SRA’s that are related to
scheduling; and
Performs all related work as required.
