POSITION SUMMARY:


  Under general direction, as a working supervisor oversees the work associated with the entering, updating and maintenance of time card system data, based on the leave and payroll data electronically provided by Bus Lot Assistant Foreman on a daily basis. The employee will work within the established departmental policies and guidelines. Work is performed under the direction of a supervisor who plans, lays out and assigns work. Work is reviewed for speed and accuracy. After familiarization with the procedures, methods and reports used in the unit, employees in this class are expected to exercise some judgment in maintaining the routine flow of work.   

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Acts as initial response to bus drivers and attendants to pay and leave issues;

Develops and maintains department’s payroll schedule in DTE as required for all bus drivers and attendants in Oracle payroll system; maintains attendance files;

Oversees data entry clerks making sure work is done on a timely basis; assists in inputting and collecting data as necessary;

Ensures that the Transportation Department’s payroll meets the posting deadlines on days and at times jointly established by the payroll Office and the Information Technology Department;

Establishes and enforces daily schedule for electronic submittal of necessary time and attendance information by appropriate bus lot management personnel;

Adapts and maintains necessary procedures and processes that will ensure consistent, timely, and accurate transmittal of time and attendance information to the Transportation Department centralized payroll operations;

Acts as liaison with Payroll Office and IT departments;

Assists Transportation Management Analyst with budget preparation;

Compiles transportation and central garage data reports, i.e., usage and overtime;

Supervises activities of Data Entry Clerks; and

Performs related work as required.

 

 

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Substantial experience and training in computerized data management systems with emphasis on time and attendance management experience in Oracle applications preferred;

Ability to operate a computer with proficiency, including Word, Microsoft Access, Microsoft Windows, Excel and relational database applications;

Ability to maintain complex clerical records and controls;

Ability to make comparisons and calculators rapidly and accurately;

Ability to train subordinates in the use of data entry software and equipment;

Ability to plan, assign, and supervise the work of subordinates effective organizational skills;

Ability to type at the required rate of speed;

Ability to treat information, data, and records confidentially; and

Good oral and written communications and human relation skills.

 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

Graduation from high school with progressively responsible supervisory experience in time and attendance management; and one year of Oracle pay applications preferred; or other combinations of applicable education, training, and experience which provides the knowledge, abilities and skills necessary to perform effectively in the position.
