POSITION SUMMARY:


  Under general supervision performs data entry regarding vendors who provide goods and services to the school system. Work in this class involves the performance of tasks related to the payment of vendors as well as maintaining an up-to-date data base of all vendors who provide goods and/or services to the school system. The supervisor provided specific instructions only for nonrecurring work assignments, deviations from normal or prior approved procedures, and new or revised procedures.   

DUTIES and RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Enters vendors name, address, Federal ID numbers and/or social security numbers into database;

Maintains required files and records related to all vendors input into database;

Routes the supporting forms to all offices involved in the process of vendor payment;

Contacts vendors via telephone to assure that only legitimate businesses are being paid by the school system;

Issues form letter correspondence when required to vendors to verify their legitimacy;

Operates office machines and equipment incidental to clerical and typing assignments; and

Performs additional duties as required.

 

 

QUALIFICATIONS:The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Good knowledge of Purchasing Office methods and procedures;

Good knowledge of the various methods and equipment used in recording, fiscal, statistical, and various other data in or on various data processing recording media;

Ability to read printed words and numbers accurately and rapidly;

Skill in the rapid and accurate operation of keypunch recording and verifying equipment;

Good knowledge of general clerical and office procedures and practices;

Ability to follow oral and written directions;

Ability to memorize and work from complex coding and tabulating procedures; and

Skill in the use of a typewriter. 

 

EDUCATION and/or EXPERIENCE REQUIREMENTS:


 

Graduation from high school and some experience in the operation of data entry devices and equipment; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

No direct supervisory responsibilities.

While performing the duties of this job, the employee may occasionally push or lift up to 25 lbs.
